Handling of Personal Information

The following are the purposes of use of personal information as stipulated in the Act on the Protection of Personal Information and related laws and regulations (hereinafter referred to as "Laws and Regulations").

Purpose of Use

1 The personal information, excluding specific personal information, held by Life Science Innovation Network Japan (hereinafter referred to as "LINK-J") will be used for the following business activities.

  • (1) Promotion of exchange and cooperation among parties involved in the life science field in Japan and overseas.

  • (2) Fostering and supporting human resources and venture companies in the life science field that contribute to the health of people around the world.

  • (3)  Other projects related to (1) and (2) that are necessary to achieve the objectives of LINK-J.

2 Personal information held by LINK-J, excluding specific personal information, will be used for the following purposes in relation to the businesses described in 1 above.
In cases where the purpose of use of specific personal information is limited by Laws and Regulations, the information will not be used for any other purposes other than the relevant purposes.

  • ・ For planning of events and programs that LINK-J hosts, co-hosts, or otherwise supports.

  • ・ To recruit and register participants for events and programs that LINK-J hosts, co-hosts, or otherwise supports.

  • ・ To introduce and announce events and programs that LINK-J hosts, co-hosts, or otherwise supports.

  • ・ To send rewards to speakers and other related parties at events and programs hosted, co-hosted, or otherwise supported by LINK-J.

  • ・ For procedures for use of the Life Science Business Center in partnership with Mitsui Fudosan Co., Ltd.

  • ・ To respond to consultations, inquiries, opinions, and complaints, and to record and store such responses.

  • ・ To send mail magazines and information on services provided by LINK-J.

  • ・ To provide and improve the operation of LINK-J and its various services, and to conduct marketing surveys and questionnaires for such purposes.

  • ・ To conduct surveys related to the business of LINK-J, to provide feedback on the results of such surveys, and to conduct research.

  • ・ For administrative procedures related to the admission and dismissal of special members.

  • ・ For exercising rights and fulfilling obligations based on special member rules, Laws and Regulations, etc.

  • ・ To provide personal information to third parties within the scope of necessity as specified in 3.

Provision of Personal Information to Third Parties

3 The provision of personal information to third parties shall be stipulated as follows.

  • (1) In addition to cases based on the provisions of Laws and Regulations, LINK-J may provide your personal information to Mitsui Fudosan Co., Ltd. and Mitsui Fudosan Building Management Co., Ltd. as well as organizations which co-host or otherwise support events or programs held by LINK-J, to the extent necessary to carry out or introduce services related to the business purposes of LINK-J or the business purposes of organizations which co-host or otherwise support events or programs held by LINK-J as described in 1 and 2 above.

  • (2) The information to be provided will include your name, address, occupation, telephone number, e-mail address, and other necessary items, but will be limited to the minimum.

  • (3) When providing information to a third party, we will do so in writing, by mail, telephone, fax, e-mail, electronic media, etc., and we will give sufficient consideration to security management in the delivery of such information, and when providing electronic data, we will encrypt the data for delivery.

  • (4) The provision of personal information to a third party will be stopped upon request from the individual. Please contact the Personal Information Desk (Please refer to paragraph 6 below).

Shared Usage

4 LINK-J may share personal information in events and programs that it hosts, co-hosts, or otherwise supports as described in 1 and 2 above.

  • (1)  Items of personal data to be shared
    Name, occupation, position, contact information (address, TEL, FAX, e-mail address), etc.

  • (2) Scope of joint users
    Organizations that co-host or support events or programs held by LINK-J, speakers at events or programs hosted, co-hosted, or otherwise supported by LINK-J.

  • (3) Purpose of joint use
    Purposes listed in 2 above and the business purposes of organizations that co-host or support events or programs held by LINK-J.

5 LINK-J may outsource the handling of personal information, in whole or in part, within the scope of the purposes of use described above. In this case, LINK-J will select the contractor through a rigorous screening process based on the selection criteria specified by LINK-J.

Disclosure Handling and Inquiries

6  If you wish to request disclosure, correction, suspension of use, deletion, etc. of personal information obtained and held by LINK-J, please refer to the "For inquiries regarding personal information" section below. After confirming the identity of the person making the request, LINK-J will respond within a reasonable period and to a reasonable extent. However, information will not be disclosed if it would result in violation of the law, cause harm to the life, body, property, or other rights or interests of the individual or a third party; or would substantially interfere with the appropriate performance of operations.

  • When requesting disclosure, please enclose a postal money order (issued by a post office in Japan) in the amount of 1,500 JPY per request and a personal identification document(a photocopy of your driver's license, passport, or health insurance card (with the number, etc., blacked out)) with the request paperwork.

Handling of Personal Data of Residents of the EU

LINK-J has established the following handling policy for personal information obtained from residents of the European Union (including Iceland, Liechtenstein and Norway, hereinafter referred to as the "EU" in this policy).

  • (1) Handling based on consent and the right to withdraw consent
    By expressing your consent to our Basic Policy on Personal Information Protection and our handling of personal information, you agree to our handling of your personal information.
    However, the individual may withdraw such consent at any time. If you are under 16 years of age and wish to use the services provided by LINK-J, you must obtain the consent of your parent or guardian or obtain permission from your parent or guardian before using the services.

  • (2) Necessity of providing personal information
    The personal information you provide is necessary for LINK-J to provide its various services, and if you do not provide it, you may not be able to use the various services of LINK-J.

  • (3) Storage of personal information
    We will retain the personal data you provide if it is necessary to provide our services to you, but we will delete it as soon as it is no longer necessary.

  • (4) Rights of the individual
    You may request access to, correction or deletion of, or restriction on the handling or data portability of the personal data held by LINK-J about you.
    You have the right to object to the processing of personal data relating to you to LINK-J or to the data protection authority having jurisdiction over your place of residence.
    Requests for disclosure, correction, or suspension of use of personal information held by LINK-J will be accepted in a manner determined by LINK-J.

  • (5) Prevention of Leakage, Falsification, Loss, or Damage of Personal Data
    In handling personal data, LINK-J will strive to store and manage such data in an accurate and up-to-date manner, and will implement security measures to prevent leakage, loss, damage, or falsification of personal data, and will safely store and preserve such data under strict control.
    In addition, LINK-J will appropriately supervise employees who handle personal data and contractors who are entrusted with the handling of personal data.

  • (6)  Extraterritorial transfer of personal information
    To achieve the purposes of use described above, we may transfer your personal information to countries outside the EU, including Japan, where the rights of data subjects like those of the GDPR may not be recognized. However, we will ensure that adequate measures are taken to protect your personal information by concluding a standard contractual clause based on the GDPR.

Cookie Handling

8 Some parts of this website send and receive information called "cookies" for the purpose of providing services to customers. Cookies are used mainly for the following purposes.

  • ・ To assist with various types of input and to customize services for individual customers in services for members such as websites.

  • ・ To be used as statistical data in a manner that does not allow identification of individuals.

  • *The use of cookies is limited to the provision of services to customers and analysis of usage and will not be used for any other purpose. Cookies will not be used in conjunction with personal information.


What is a cookie?
A cookie is a piece of information that is exchanged between a web server and a customer's browser for the efficient operation of the Internet and may be stored on the customer's device.
Among the information supplied through the use of cookies, the following information is collected: attribute information that cannot be used to identify an individual, such as age, gender, occupation, and region of residence (limited to information that cannot be used to identify an individual even when combined); device information; user activity history within this website (accessed URLs, contents, order of reference, etc.); and location information based on the user's consent or request when using a smartphone, etc. However, cookies do not contain any personal information such as e-mail addresses or names.

Use of Data in Advertising Placement

9 This website uses a measurement system of a third-party company for site management and measurement of access status. In addition, LINK-J may use cookies and web beacons to measure the effectiveness of advertisements placed by LINK-J through ad-serving companies and to measure access status.
There are cases where access data is collected through the systems of ad-serving companies and used for purposes such as the distribution of behaviorally targeted advertisements. Behavioral targeting advertisements are designed to display advertisements in line with the user's tastes and interests by collecting and analyzing access data over a certain period, such as "when" and "which websites" the user has visited.

Access Logs

10 This website records information on the computers of visitors as an access log. The access log will be used mainly for the following purposes.

  • ・ To determine the cause of problems that occur on the web server and resolve them.

  • ・ To improve the website to better satisfy our customers.

  • ・ To use the information as statistical data on the use of the website in a manner that does not allow identification of individuals.

  • ・ To customize various input assistance and display information to suit individual customer use when logging in using membership information on websites and services for members by using behavioral history, etc. from prior to logging in.


Access logs refer to information such as the domain name and IP address used by the customer to access the site, the files accessed, the type of OS and browser used, and the time of access.


Measures Adopted for Security Measures

11 In compliance with relevant laws and guidelines, LINK-J will take the following necessary and appropriate measures (hereinafter referred to as "security measures") in order to prevent leakage, loss, or damage of personal information it handles and to ensure the security of other personal information.

  • (1) LINK-J has established a personal information protection policy to ensure the appropriate handling of personal information. (Please review the personal information protection policy here (link to "Personal Information Protection Policy).)

  • (2) Establishment of regulations regarding the handling of personal information
    LINK-J has established internal regulations stipulating the methods of handling personal information, the associated manager and staff, and the duties thereof, etc.

  • (3) Organizational security measures
    LINK-J has appointed a Personal Information Manager as the person responsible for handling personal information, with the aim of improving security measures. Furthermore, we enforce compliance by employees (including contract and temporary employees) with internal regulations regarding security measures, and have established a framework for reporting to and communicating with the person responsible when evidence of an actual or potential violation of the law or internal regulations by an employee is discovered.

  • (4) Human security measures
    LINK-J has implemented education and training for employees regarding the appropriate handling of personal information.

  • (5) Physical and technological security measures
    LINK-J controls access by employees to areas where personal information is handled, and devices, etc., which contain personal information are stored under lock and key. Furthermore, it controls access to personal information and the information systems which handle personal information, employs countermeasures against malicious software, and conducts monitoring of information systems, etc.

  • (6)  Assessment of the external environment
    LINK-J stores a portion of the customer personal information in its possession on cloud service in the United States and has implemented security measures based on an assessment of their systems.
